The following is a brief description of the role.
Generic responsibilities
These responsibilities shall be the same for all positions with the same title. The responsibilities shall be short and essential. Details belong in the Work- and Professional Development Plan.
1.Coordinate the Reception area (shelter) activities according to strategy, proposals, budgets and plans
2.Ensure adherence to NRC policies and donor requirements
3.Involve and inform communities and community leaders about the activities
4.Break down the annual operational plans into weekly, monthly and quarterly implementation plans
5.Coordinate with relevant partners
6.Ensure that procurement, development and distribution of materials and equipment are timely and according to procedures
7.Supervise, train and develop team
8.Prepare periodic progress reports and other documents as required
9.Investigate and facilitate introduction of new technology, methods and approaches in order to improve the quality of the activities
Specific responsibilities
These responsibilities shall be adapted to the particularities of the job location and context, phase of operation, strategic focus and type of programme intervention. This section shall be revised whenever a new employee is hired or the context changes significantly.
•General management of the reception area and waiting area 1 in Azraq.
•Responsible for planning and scheduling distribution of NFIs for new arrivals in Azraq.
•Representing NRC when necessary in coordination meetings where the subject is reception and sleeping area coordination.
•Ensuring that all refugees are provided with Non-Food Items (NFIs) in a timely and equitable manner.
•Preparing all documentation and paperwork needed to ensure smooth running of the distribution activities (stock reports, distribution reports, daily monitoring sheets, incident reports etc)
•Inform and request restocking of CRIs needed at the replenishment site prior to the distribution dates.
•Liaising with counterparts from other organizations involved in arrival distribution and registration activities to ensure coordinated procedures.
•Responding to any security incidents by following strict NRC internal Security Management procedures and ensuring the safety of staff on site.
•Prepare documentation and follow-up all support function processes related to the project. (attendance sheets for incentive labour, requisitions, stock cards and other support related documentation)
•Manage reception team staff including periodic feedback and performance management, leave planning, work plans, update tasks and responsibilities.
Critical interfaces
By interfaces, NRC means processes and projects that are interlinked with other departments/units or persons. Relevant interfaces for this position are:
•Internally: Shelter POs, Logistics, HR, Finance departments.
•Externally: UNHCR protection in Reception Area - Azraq
