Policies and Labour Law:
1. Advise managers on interpretation of Oxfam HR policies, procedures, systems and processes and Oxfam Staff handbook.
2. Monitor and advise management on changes in Oxfam HR policies, procedures, systems, processes
3. Monitor and advise management on changes in Jordan labour law.
4. Monitor and support the implementation of HR policies and procedures and report non adherence to the PM.
5. Participate in forums or working groups relating to HR management and feedback to management.
Recruitment/Induction:
1. Assist the recruitment manager in recruitment processes including placing adverts, longlisting,
interviewing, organising tests, maintaining the recruitment database for Jordan, proper filing of recruitment records
2. Assist managers in taking up references and obtaining results of pre-employment medicals.
3. To set up and monitor induction for all staff ensuring that meetings are arranged and that feedback is obtained. Ensure the induction pack is up to date at all times.
5. Ensure that terms and conditions for all staff fall within established Oxfam GB policy.
6. Ensure that all new staff are issued with Oxfam ID cards.
Staff Records;
1. Ensure issuing contracts, renewing contracts.
2. To monitor dates relating to probationary periods, performance review, and end of
contracts; keep leave administration up-to-date, and inform managers of leave balances of their staff.
3. Ensure that personal files for all staff are complete.
4. Ensure that all records for all Oxfam GB Zataari camp staff (leave, performance management, medical claims and any others) are up-to-date.
5. Ensure that for leavers all leavers procedures are followed (exit interview, equipment or documents are retrieved, leavers financial checklist).
6. Ensure that the monthly payroll is done timely and accurately, in coordination with the Finance Department.
Welfare/staff health:
1. Liaise with medical providers ensuring a high quality of service is offered.
2. Arrange for Health and Safety assessment and monitoring of action plan in accordance with Oxfam guidelines
3. Ensure medical evacuation procedures are in place and know to (international) staff.
6. Arrange for information sessions on stress management
Staff Development:
1. Ensure that Oxfam GB’s performance management system are implemented in accordance with the Organisation’s performance management cycle.
2. Coach and support managers to optimise the performance of their staff, ensuring that
assessment of performance is objective and that poor performance is addressed appropriately.
3. Produce an annual Training Needs Analysis based on Performance Review.
4. Build up a database of training providers; provide information to the field and arrange attendance.
Administration:
1. Receiving information on staff/visitors’ movements for the response and liaising with the Logistics Manager with regard to transportation.
2. Responsible for the maintenance of office stationery supply. To provide monthly reports on issues and stock position.
3. Ensure that all relevant paperwork is kept up to date and filled where necessary.
4. Maintain filing systems with accurate and timely information.
5. Maintain close relationships with the logistics department.
6. Writing letters and documents if needed.
