ASSIGNMENT
The Database Manager is responsible for accurate and efficient database development, database maintenance and data management from the field data collection activities keeping quality data recording and reporting standards and documentation filing. Database manager will be directly supervising database assistants and hotline operators on their daily activities.
FUNCTIONS
1. Database development, database maintenance, data processing and management:
1.1. To develop database using Excel/Access or other software for internal database management;
1.2. To develop and maintain up to date databases as required, including across all relevant programs and supporting all relevant departments / units;
1.3. To train and manage data entry staff under his supervision how to enter all data and figures as needed in a consistent, accurate and efficient manner;
1.4. If necessary: to set up server and intranet connection as “server-client” for having automatic update of one database by several “client” computers at the same time;
1.5. To collect all documents needed for the database and enter each beneficiary into the project database for projects;
1.6. To provide data outputs quality reporting upon request.
1.7. Support the preparations and distributions of E-cards:
• Follow the collection of E-cards from WFP until the Base Area.
• Prepare all the E-cards, Pin Numbers and Distribution Receipts for each of the distribution points.
2. Project reporting
2.1. To supervise data management and timely, accurate data entry as required, data analysis and accurate reporting;
2.2. To process data and information from field - in particular ensure quality, consistency, accuracy, truthfulness, comprehensiveness of all distribution, monitoring and appeals data;
2.3. To link data collected by barcode scanners through Excel/Access database software;
2.4. To supervise and prepare the workplan schedule once a week for the database team;
2.5. To prepare all reports as per request by the Team leader and Project Managers;
2.6. Where required, scanning relevant documents for upload to the database.
2.7. Assist with data analysis and monitoring of appeals where needed.
2.8. Create a reporting mechanism for all the activities with all the stakeholders being trained on how to operate the database.
2.9. Provide with suggestions and initiative on improvement of the work process if needed;
3. Filing
3.1 To ensure that up-to-date files are maintained, both electronically, scanned and in paper form;
3.2 To perform accurate filing of all processed documents, monthly consolidated filing of key project documents in his/her area offices.
4. Perform other tasks when delegated by Project Manager and/or Team Leader.
