Manages and coordinates the day-to-day operations of the executive office of the direct manager. Provides assistance and support by performing various confidential administrative, assistant and secretarial responsibilities.
1. Assists direct manager/director by performing diversified, responsible, and confidential duties as well as secretarial duties.
2. Completes specific work projects as assigned relative to administrative operations.
3. Composes or transcribes correspondence, memos, reports as instructed. Uses word processing and proofreads a variety of material including correspondence, memos, minutes of meetings, etc.
4. Coordinates direct manager’s schedule. Arranges meetings, appointments, handles purchase orders, etc.
5. Screens phone calls, redirects calls, directs complaints to proper channels, and completes special assignments (often board-related).
6. Prepares for meetings, notifies participants, prepares agenda, orders food, organizes room set up, takes and transcribes minutes of special committee meetings, regular meetings, and other meetings, including board meetings.
7. Operates office equipment effectively and efficiently;, attends training sessions as requested, and acts as a resource when necessary.
8. Interacts on a regular basis with senior level administration, members of board of directors, hospital employees, volunteers, and visitors.
