JOB DESCRIPTION
Main Responsibilities & Duties
● Organize and plan the drivers duties of shift B● Monitor and updates car use ● Keeps tracks on all light vehicle movement ● Applies ICRC rules in term of use and security of vehicles● Replacing the Car-Pool Assistants during their absences● Ensure the correct reporting to his direct supervisor
 
Car Pool assistant task:● Assisting the car pool manager in the preparation of the monthly working shifts● Follows-up drivers and vehicle activities and updates the status and trip boards, during the assigned shift. ● Monitors, controls and reports the use of the vehicles to the supervisor.● Ensure that all relevant vehicle documents are valid and located in vehicles. ● Day to day handling of the filing system and ensure the flow of information and direct reporting to his supervisor is done perfectly.● Disseminates the driver tasks and monitors its progress and outcomes during the assigned shift. ● Follow up of the Lotus Notes MSG● To ensure that the vehicle are clean inside and outside● To assist the other department if needed
Security● Verifies that all ICRC security rules are applied ● Ensure that the vehicles are loaded according to manufacture specifications.● Ensure that all documentations related to the load are available and correspond to the need.● To assist, control-loading offloading.● Master HF/VHF and sat phone use● Respect and observe the staff regulations of the ICRC in Jordan.Maintenance● Ensures that vehicles are ready to be driven at any time with all equipment and tools, following guidelines.
Accidents● Dealing with the police to obtain the police report when so requested during his shift.● Respects all standard fleet procedures concerning accident reporting.● Collect all relevant information about possible damages caused by accidents and informs the supervisor immediately.● Explains accidents reporting procedures to car users and assists them as needed.● On request, assists car users in the spot in case of accident during the assigned shift.

Manage and administrate Umniah Sales Force System
Manage new changes and updates in Microsoft Dynamics System
Build reports and dashboard based on business requirements
Manage Integration job between Kinz system and Microsoft Dynamics
Perform typical system administrative activities (monitor System, check daily jobs, Manage reports)
Responsible for Sales Force availability, Monitor disk space, Database backups, shrink logs, error logs and responding to problems.
Manage permissions and changes upon departmental Hierarchy
Manage and design processes within business process management system “BPM”
Design and develop new processes based on business process management best practices
Insure the availability of all processes data within Umniah’s in-house designed database
Handle technical testing and business acceptance before publishing any change on system
Assure proper documentation for any technical changes performed on system and assure applying all internal procedure for processes design
Perform typical system administrative activities (monitor processes, solve stalled or failed incidents, manage permission over processes and reports)
Responsible for BPM system availability, Monitor disk space, Database backups, Processes Backups, shrink logs, error logs and respond to problems
Manage and administrate Umniah SharePoint
Maintain SharePoint and Manage services running in the Enterprise
Create and organize site collections that support efficient business process workflows
Perform typical system administrative activities (site creation & issue resolution, changes in master pages)
Manage polices and permission groups
Participate in configuration & maintenance of libraries, lists, site collections & search optimization
Work with business users to document and analyze workflows that will be automated in SharePoint
Responsible for SharePoint availability, monitoring of disk space, Database backups, shrinking logs, reviewing user activity, error logs, site statistics and responding to problems
Manage and administrate Umniah DWH “Data Warehouse”
Perform and monitor ETL “SQL daily jobs”, validate results and assure a successful delivery of business intelligence information to the entire organization
Perform end of month closing reporting
Manage and implement any changes related to BI analytics areas and reporting areas
Manage security and permission on BI reports and analytics areas
Collect information from business users as well as the development teams (technical teams) and assure the correctness of the rules before applying any change on the ETL process.
Manage database maintenance which includes end of month cleansing and proper tables indexing
Work with vendors and consultants to deliver new changes and analytics solutions for end users

RESPONSIBILITIES :
 
The M&E Expert Director will be responsible for overseeing data collection and monitoring and evaluation activities across the project. Responsibilities may include but not limited to:
• Develops, implements, and manages the project's comprehensive performance monitoring framework and systems, including the Activity Measure and Evaluation (M&E) Plan, to track progress of all activities and outputs and provide relevant and timely information to project stakeholders .
• Operationalize and maintain the Activity M&E Plan and management indicators in DAI’s proprietary project database (TAMIS).
• Establish baselines for reporting; establishes reporting procedures in compliance with USAID reporting system .
• Track project's progress and evaluate its outcomes and impact in an integrated manner allowing for data driven decision making, ongoing learning and program adjustments.
• Prepare performance data reports for USAID deliverables and ad hoc requests as well as well project management.
• Oversees labor market and other surveys and data collection efforts.

Ensure a correct implementation of MSF Standards (policies, procedures and tools).

-
Support his/her direct supervisor in the assigned tasks.

- Monitor the service/ unit under his/her responsibility, manages his/her team.
- Ensure logistical and technical support to capital.
- Specific support to the Logistics Coordination as required.
- Ensure the proper use, monitoring and  maintenance of infrastructures, installations and equipment, according to MSF standards.
- Guarantee that repairing and maintenance is done within deadlines according to MSF SOPs.
- Ensure the proper running of technical means related to security rules of the project(s) / Mission.
- Ensure maintenance of MSF vehicles.

Follow up of rental vehicles according to MSF standards.

Follow up of fuel consumption and fuel requirements.

- Ensure maintenance and follow up of Cold Chain equipment.
- Identify spare part and lubricant need for the mission and communicate with the Capital log in timely manner.
- Follow-up the validity of all documents (annual inspection, insurance or any other legally required documents).
- To collect reports from drives about the condition of the vehicles.
- Perform, weekly services, service A, B & C.
- When required maintain and repair vehicles at project location in consultation with the technical log and the project log.
- Maintains other different engine powered machines (generator, water pumps, etc) and technical equipment.
- Screening, follow up and executing all repair and maintenance works in the office and at MSF houses, which including cleaning, painting, gardening and general tidying-up.
- Ensure the check up, follow-up, and filing of administrative documents (contracts,repair request forms, warrenty documents from supplier, deliveries, etc), under the direct supervisor and administration department’ supervision for contracts.
- Monitor the consumption of mechanical and electrical vehicles/machines/devices (fuel and spare parts), as well as energy consumption (water, electricity, etc).
- Ensure formal validation and follow-up of invoices, and their correct registration in accountancy.
- Ensure administrative follow up of vehicles according to MSF standards and SOPs.
- Supervise his/her team (including drivers), ensure everyone complies with his/her  job description, in good working conditions.
- Draw up and follow up a team planning (vacations, replacements, etc).
- Ensure that daily workers are properly recruited, monitored and previously validated including appropriate administration.
- Evaluate training needs, participate in the identification of candidates and take part in on-going training, with the direct supervisor.
