Guard Force Security Officer - Norwegian Refugee Council

Travel: 70%
The Guard Force Security Officer (GFSO) shall ensure the professional functioning and the management of the entire guard force by means of regular and traceable controls; organize the shifts of the entire guard force staff and ensure that a file with detailed rosters, of both planned and actual presences, is available at all times; ensure that all posts are properly manned; control the proper application of procedures carried out by the guards for the access of vehicles and persons to the NRC offices, compound’s premises.
The GFSO shall oversee the proper functioning and operation of the various security installations and equipment in all the offices, compounds and premises covered by the contract, such as but not limited to CCTV system, PA system, fire detection system and (where applicable) radio communication equipment.
The contractor’s local management shall be available for ad hoc meetings convened by the CSM or the Security Coordinator (SC) at their request.h
Generic responsibilities
1. Provide a detailed roster and presence files on a weekly basis
2. Implementation and control of the security guards procedures
3. A reporting system with the guard force
4. Appropriate and continuous coaching of the guard force
5. Inspection of all post on a regular basis; an inventory record, with evidence verification
6. The GFSO shall be responsible for developing and implementing the Standard Operating Procedures (SOP), and Reporting Procedures (RP). These procedures must be validated by the CSM and must be executed by the contractor’s staff.
7. Monthly planning of the personnel assigned or deployed must be ensured with detailed roster sheets
8. The GFSO shall be responsible for all formal reporting the guard force company, through the CSM
9. Coordinate with SRAD at camp level
10. Liaison with UN agencies and INGOs
Specific responsibilities
• Payment of monthly invoices in a timely manner with supporting documents
• Weekly meeting with the CSM, or the Security Coordinator in the event of the CSM’s absence, on the status of the guard force and implementing of the contract
• Review contractual requirement on a monthly report to the CSM giving status of the service provided and developments related to the implementation of the contract
• Each week, or daily if required, an information report on the security situation at the place of posting and in the country shall be submitted to the CSM.

Facilities Supervisor - Cleaning

A well know company in Amman is currently seeking a Facility Supervisor for its current and newly awarded Cleaning contracts and projects to provide Commercial Facilities Management Services.

The person will be involved in both strategic planning and day-to-day operations and responsible of :
• Working within the Soft Services Team, carrying out their duties effectively and efficiently in accordance with contractual requirements.
• Delivering the agreed services within the budget allocated to their role and to the standard required.
• Developing good relationships with the onsite FM Team, Janitorial Team and Client Customers.
• Following the Company’s Health, Safety and Quality procedures within the course of the role and ensure that the Soft Services Team are preforming their duties within the correct guidelines at all times.
• Undertaking successfully the training matrix specific to this role.

Main Duty:
• To manage the holidays and absences allocation of the Cleaning Operatives to ensure that adequate coverage is available and that cleaning standards are not reduced.
• To maintain accurate staff attendance records and ensure the Signing-in Register is completed in line with contracted hours and that these records on reviewed on a daily basis.
• To complete the Soft Services site time sheets, ensuring that these are processed in line with the Company’s time restrictions.
• To ensure that Cleaning Operatives understand and adhere to the site rules and maintain a smart appearance, including the wearing of the uniform when carrying out their tasks.
• To manage and control the issuing and usage of cleaning materials on site, making sure that the correct cleaning materials are used for the task in-hand.
• To carry out a weekly check of all cleaning machinery to make sure that it is in a safe working condition and reporting any faults to the Facilities Manager.
• To report all accidents and/or potential hazards to the Management and update appropriate records as necessary.
• To review all equipment and store cupboards verifying that they are kept clean and that equipment and materials are left secured when not in use.
• To ensure that “Wet Floor Warning” and other safety signs are provided and used correctly by all Cleaning Operatives.
• To monitor the standard of work of the Soft Services Team using the weekly checklist.
• To deal with Customer complaints immediately in conjunction with the Facilities Manager.
• To attend appropriate training sessions to update knowledge of cleaning equipment, materials and company procedures.

SUMMARY DESCRIPTION

Warehouse facilities
 maintenance of the medical warehouse and infrastructure
 Reporting damages or need for repairs to the medical W/H manager
 Maintaining tidiness and cleanliness of the warehouse
Storage of goods
 properly storing all goods and protecting them adequately
 Checking, and recording the minimum, maximum and actual room temperature in all store rooms twice a day and reporting immediately to the medical warehouse manager if the temperature goes out of range
 Daily adjusting thermostat to maintain the temperature between 2-6° Celsius at all times
 Storage of all goods in standrad order within by FIFO or FEFO
 Ensuring bin cards are attached to batches
 Ensuring goods with different expiry dates, batch numbers and purchase reference (numbers) are stored separately
 Keeping strict eye on rules applicable to controlled drugs.
Arriving consignments
 Supervising the clean and safe unloading of arriving consignments and checking respective waybills and packing lists
 Performing a complete entry inspection and informing the stock controller and medical warehouse manager of any discrepancies between packing list and physical consignment
 Performing quality control on all arriving goods
 carefully inspecting supplier's deliveries in terms of quality and quantity and comparing those with the Purchase Order.
 Inspecting ex-Geneva cargo according to principles
 Issuing a bin card for each batch of arrived items
Picking and packing
 packing consignments according to picking tickets (or equivalent) issued by the medical logistician
 Recording picked items in bin cards
 Recording any discrepancies between the batches stated in the picking ticking vs actuals
 follow-up and correcting all related documents
  Packing cold chain items in appropriate cold boxes with sufficient ice packs according to the equipment instructions
 Providing protective packing for breakable items
 Returning the picking ticket (or equivalent) with corrections and the parcel number of each item, total number of parcels and total weight to the medical logistician for issuing packing lists
 Ensuring that all consignments are packed appropriately and weighted
 Marking parcels with consignee, destination, order number and parcel number
 Marking parcels with transport instructions or warnings (breakable, dangerous goods etc.)
 Ensuring that all packed consignments are accompanied by an accurate and complete packing lists and issuing of a waybill upon loading.
 
Dispatch of consignments
 Supervising loading of consignments
 Counting parcels and ensuring that waybills and packing lists accompany the consignment
Stock rotation
 Ensuring FEFO (and FIFO for items without expiry date) during order picking
 Reporting all goods with short remaining shelf life
Physical stocktaking
 Participating in the physical stocktaking at the end of every month under supervision of the warehouse manager and medical logistician

Expired Drugs
 If due to any objective reason drugs on stock come up close to expiry date (less than 6 months/or less / or more), preparing Claim Report in coordination with the Logistics department, picking items from the stock, storing them in a separate area and starting procedure for destruction in close cooperation with Warehouse manager, Logistics and Medical unit.
Inventory
 Implementing regular ad hoc inventory on request or spontaneously
 Taking active support role in the yearly or Ad Hoc formal inventory
 Actively supporting the Warehouse Manager in ensuring the reliability and audit ability of medical/info stocks management.

About our software

Since 2002, think-cell produces graphics software
that performs most of the painstaking work of creating data-driven slides for professional Excel and PowerPoint users. PowerPoint slide creation is one of the most popular things professionals use a computer for. Thus, it is rather surprising that while intelligent software revolutionized many things we frequently do, such as web search in our browser, or telephone speech recognition in a call center, office productivity software has not changed much over the past decade or so. think-cell is out to change this. We stand out from the crowd of other presentation software because we are willing to do the leg work of developing sophisticated algorithms and refining our user interface, which makes working with our software so satisfying for our users. Here are some highlights of what we have done:
 
Algorithmic highlights

We developed a new algorithm for automatic point cloud labeling that allows labels to be positioned away from the actual points. We developed a new algorithm for automatic column chart labeling. We are working with John Forrest - author of the linear solver CLP - to make his simplex code faster on our kind of problems. We developed quite a few generic data structures that are not in C++ or Boost, for example partitions.
 
Hacking highlights

To do things which are not possible via the documented Microsoft Office API, we do lots of reverse engineering with the disassembler IDA from Hex-Rays. We wrote probably the best function hooking engine out there. On each start of our software, we patch the Microsoft Office executables in memory. We search for small chunks of assembly
code rather than hard-coding patch addresses to be robust against minor code modifications. We redirect PowerPoint's and Excel's window contents into offscreen buffers and use Direct3D 9.0 to render our user interface on top.
 
Other highlights

We fund the working group for programming languages of the German Institute for Standardization (DIN). Some of our
employees are members in this committee and vote in the international standardization process of ISO/IEC C++. We have already switched to C++11 functionality in many places, in particular lambdas and rvalue references. We use Boost throughout our code, e.g., Boost.Spirit for most of our parsing needs. We have our own reference-counting and persistence libraries to save and restore whole object trees. We wrote a parser and writer for the Excel .xls format. We have an extensive bug reporting infrastructure. Assertions and error checks stay in the release code, and our software automatically reports bugs to our server. The server analyzes the bug, categorizes it and files it in a database that all developers can access. If an update fixes the bug, the user can download the update directly from a bug response web page.

These activities include transfer of patients from their country of origin (Iraq, Yemen, Syria), surgery (plastic, orthopedics and maxillo-facial), physiotherapy, psycho-social care and food & accommodation.
The project is currently located in JRC (Jordan Red Crescent) premises and will be moved to Al Mowasah Hospital in December 2014 (150 beds).
Under the hierarchical supervision of the Hospital Director, the Medical Director:
- is the overall responsible for the quality and smooth functioning of all medical care for all patients in the project, including those residing within the hospital, in private accommodations and in the rehabilitation center,
- participates actively in defining medical care strategies, and is responsible for ensuring the best quality of medical care for patients. He/she has the authority to implement the decisions made by the management team and to ensure that hospital policies and standard procedures are followed,
- is an active member of the “Directors Committee” chaired by the Hospital Director. S/he is involved in
decision making processes, and forms the medical managerial core of the project.
- heads the medical managers team: medical activity manager, pharmacist manager, physiotherapist manager, psychosocial manager, head surgeon and head anesthetist.

 Handles book keeping medium/large delegation in various currencies
 Processes Financial data on computer and provides end month closing
And reports independently.
 Takes part in cash flow management under supervision.
 Ensures respect of financial procedures and guidelines
 Handles accounting entries related to bank books (USD & JOD bank) before being checked
By the Finance Responsible:
- Make sure that all the documentation required for each invoice are attached and based on the Financial rulers (Supporting documents, ROs, POs, ST…etc).
- Makes sure that the approval sticker is properly filled-up and signed by the administrator and CC responsible.
- Examine invoices to confirm adherence with administration and financial manual

 Preparing invoices to be paid against cheques & Transfers:
Hand over to the Finance responsible the excel sheet with Transfer forms /cheque with all the invoices for each supplier
Before sending the payment to be signed from the Administrator.

 Maintain well-organized filing plans of vouchers and other finance documents:
Prepare daily filling for all vouchers completed and signed by the Administrator, and responsible to prepare the files for the
Monthly packing to be sent by end of the month to Manila FAD/REV.

 Communicating with bank and different suppliers :
Provide weekly bank statement then handed it over to the main Accountant to allow her prepares the bank reconciliations,
& provides payment details to the suppliers when needed. Follow up with bank and collect the ATM cards when its ready.

 Make sure that the list of visa & signature is filled up properly:
Before end of each month make sure that the visa list of signatures are updated accordingly.
 Replace the Cashier/Accountant 1 in case of absence.
 Give support to Sub delegation whenever needed.
